Program AdministratorOversees the entire program and has access to all pages except those that contain Personal Health Information (PHI).

Program Administrators are able to:

  • View own dashboard
  • Update users dashboard

  • Update user account status

  • Run aggregate and utilization report 
  • Programs configuration 
  • Client configurations 
Customer Service Level IUsers will handle all customer service activity including fielding questions and researching issues.  This customer service level will not be able to issue a waiver credit to users

Customer Service Level 1 is able to:

  • View their own dashboard
  • View user information
  • View user PHI information
  • Update user account status
Customer Service Level IISame functionality as Customer Service Level I; however, users in this role are able to apply a waiver credit to users' accounts.

Customer Service Level II is able to:

  • View their own dashboard
  • View user information
  • View user PHI information
  • Apply waiver to user's account for program credit
  • Update user account status
Registered UsersEmployees or dependents.

Registered Users are able to:

  • View their own dashboard
  • View own data
CoachAccess to member PII and PHI when members permit coach to access information

Coaches are able to:

  • View own data and other users' data
  • Add User biometric data
  • View, initiate and complete  HRA
  • Schedule session with participant 
  • Send secure message
  • Send chat message 
  • Chat with members  
  • Coaching notes 
  • Video/Audio call 
Coach ManagerLike coach, Coach manager has higher permission to access all assigned coaches and member data when permitted.

Coach Managers are able to:

  • View own data and other users' data
  • Add User biometric data
  • View, initiate and complete  HRA
  • Schedule session with participant 
  • Send secure message
  • Coaching notes
  • Chat with members  
  • Coaching reports and dashboard
  • Video/Audio call 
  • Access to custom reports 
  • Access to ad-hoc report 
Location Manager (Client Administrator)

The Location Manager has a similar access level to the Program Admin. but access is limited to the assigned location.


Same access and abilities as Program Admin, but restricted to the assigned locations. 

Ability to:

  • Manage video (Add/update)
  • Manage message center 
  • Manage health points campaigns 
  • Manager message board 
  • Manage question sets 
  • Manage widget content 
  • Send engage communications 
  • Manage events 
  • View insight manager 
  • run reports 
  • access to ready to go marketing materials 
Health Tech

This role is assigned to the on-site biometric screening staff, which will have a temporary access to the system.

Health Techs are able to:

  • Access the Account Information Tab (Read Only)
  • Enter Biometric Data
Health Tech Manager

Health Teach Managers have similar access to the Health Tech Role and are also able to manage biometric events.


Access for Health Tech Managers is limited to: 

  • Event Management
  • User Account Information (no security tab)
  • User Biometric History  
Wellness Center ManagerThis role is limited to establish the connection between FitCenter and FitLyfe 360Ability to login to FitLyfe and allow users to self check in or check in users
